Host Committee Sub Committees And What They Do
Alamodome Hosts - Volunteers will greet visitors arriving for the three large meetings scheduled at the stadium Friday night, Saturday night and Sunday morning. They will set up chairs on the floor of the stadium, greet visitors at the gates, direct them to seating areas, and assist in stadium cleanup at the conclusion of the three events. Will provide assistance with flag ceremony and be ready; to carry a flag if appointed person does not show up. Will also provide greeters for the main stage.
Al-Anon Core Committee - Volunteers will welcome Al-Anon members at the Henry B. Gonzales Convention Center, as well as the Marriott Rivercenter where Al-Anon and Alateen meetings will take place.
Area/State Volunteers – Volunteers will be responsible for distributing fliers, committee information, and volunteer registration information to The Southwest Region.
Convention Center Hosts - Volunteers will welcome guests at the Henry B. Gonzales Convention Center as well as directing traffic within the Convention Center from Wednesday morning through Saturday evening.
Foreign Languages - Volunteers will staff a special booth from Wednesday morning through Saturday morning to help ensure the comfort and convenience of guests for whom English is not a native language. The booth is in the Convention Center, and will be accessible by phone.
Spanish Language - Assist the Volunteer Chairs when required with translation to recruit Spanish speaking volunteers Help the Spanish speaking members with guidelines and directions to the committees of their choice Provide a booth and Spanish translation at the kick-off meeting as well as the Training meeting. Visit Spanish speaking AA events and motivate the Spanish speaking members to participate.Staff a booth at the Convention Center from Wednsday to Saturday for Spanish-speaking members whom English is not a native language.
Guest Welcome and Volunteer Headquarters Room - Volunteers on this committee will serve as a focal point for volunteers, also will welcome particular guests as needed.
Hotel Lobby Greeters - Volunteers will staff information tables in hotel lobbies in downtown San Antonio and in key suburban hotel sites (approx 45 hotels) from Wednesday noon until Saturday evening.
Intergroup - This committee will provide a liaison to the local intergroup, keeping them up to date on International Convention activities.
Marathon Meetings - Volunteers will chair and host the various marathon meetings from Thursday evening to Sunday morning. Registrar - Volunteers will serve as primary source of volunteer registration. Work with host committee to establish volunteer registration forms and guidelines. Work with webmaster to ensure that online registration procedures meet the established requirements. Oversees and instructs support staff. Duty dates are Jan 9, 2010 until July 1, 2010.
Registration - Some of these volunteers will staff the registration area in Henry B. Gonzales Convention Center. They will give badge holders and information packets to those who are pre-registered. Others will staff the information tables for questions about the Convention. A third set of volunteers will assist the professional firm handling on-site registration by handing out information packets.
Shuttle Bus Hosts - Volunteers will be stationed at convention shuttle bus service drop-off and pickup points at peak hours from Thursday morning to Sunday early afternoon to help all Convention attendees using Bus Services to and from convention hotels, the Convention Center and the Alamodome.
Sidewalk / Riverwalk Greeters - Volunteers will be stationed in the Downtown Area at strategic places along sidewalks and Riverwalk where they can provide assistance, directions and local information to attendees from Wednesday afternoon until Saturday evening.
Special Needs/Accessibilities - These volunteers will be a source of information for physically challenged and other individuals who feel the need for special help. Their booth is in Convention Center, and they will also be present at the Alamodome for the Big Speaker Meetings.
Thursday Night Party in the Park/Dances - These volunteers will host, entertain, and help out during the Party in the Party and dances in Hemisfair Park, and in the Henry B. Gonzales Convention Center, and the Grand Hyatt.
Topic Meeting Greeters & Counters - These volunteers will greet members as they attend the topic meetings during the day Friday and Saturday in the Henry B. Gonzales Convention Center, Marriott Riverwalk and Grand Hyatt, and provide estimated counts of the numbers of participants.
Transportation Hubs - These volunteers will greet our visitors at the train station, bus depots and all airport terminals. They will guide them toward transportation to their local destinations and provide local information if requested. They will serve from Tuesday thru Thursday afternoon.
Volunteer Kick-Off Meeting - Volunteers will help set up and organize the official start of the 2010 International Convention Volunteer Host Committee activities. The goal of the Kick-Off Meetings is to provide information about the volunteer process and to sign up volunteers for the various other subcommittees.
Flag and Stage Ceremony – Volunteers will be at all three Alamodome events. They will assist with the flag ceremony serving as marshals to keep the ceremony moving, filling in for missing flag bearers if needed. They will assist with seating in front of the stage to reserve enough seats for flag bearers and guest. Some of these volunteers will be asked to dress in distinctive clothing (probably black) so they can easily be located.
